Welcome to memozero: find your way around the app

After installation you start memozero for the first time. The app then prepares its services, takes you through a short setup and opens the home page. This article shows what happens and how the window is built. After that you find every transcript, every search and every filter without a detour.

The first start

  1. Start screen. You see the logo, the subtitle, three dots and the version number.
  2. Welcome. An image, the text “Welcome to memozero” and the Start Setup button appear.
  3. Setup. The local setup of the app runs in several steps, which the following table describes in more detail.
  4. Home page. The app then opens on the home page.

At the top of the setup you see the version and a language switch between German and English. At the bottom a progress bar runs for the download.

The download already starts while you type the activation code. First the transcription service downloads, then the models.

The model download

memozero transcribes your files locally on your device. For that the app needs the models as files on the disk. Which models memozero downloads depends on the detected hardware.

How long the download takes depends on your internet connection and the selection of models. The progress shows four figures: percent, speed, amount already downloaded and the estimated time remaining. The exact size appears in the dialog before the download starts.

The download does not block the app. It continues in the background and appears as a card in the sidebar. If you dismiss the card, you do not cancel the download.

The window

The window has two areas. The sidebar is on the left, the workspace on the right. You can move the divider between them with the mouse. That gives the list more or less space.

With Ctrl + B (Windows) or Cmd + B (macOS) you collapse the sidebar and expand it again. When it is collapsed, only the logo, the plus button and the user button remain visible.

The sidebar from top to bottom

You can use the sidebar for the following functions:

  • Logo, “memozero”, version (opens the home page)
  • Collapse button (switches to the narrow view)
  • New Transcription (opens the view for submitting a file)
  • Search field (searches the list, reacts with a short delay)
  • Filter button, line symbol (filters by status, multiple selection possible)
  • Toggles Search in transcript and Search in comments (narrow the search)
  • List of transcripts, grouped by day (a click opens the transcript)
  • Notice cards for update and download (appear only when needed)
  • Footer with the email address of your licence (opens the settings)

You can start a transcription either with the New Transcription button (in the sidebar) or with the button of the same name on the home page.

Your list of transcripts

An entry in the list shows exactly two things:

  1. the file name without the extension,
  2. a status mark.

If a recording has no name, the list shows “Untitled”.

memozero groups the entries by the date they were created. Within the list the newest item always stands first.

You can filter the display by status with the symbol of three horizontal lines below the New Transcription button (Queued, Processing, Pending, Approved). Select the categories you want or deselect the others. The order of the list stays the same; the newest item always stays at the top.

The list first loads 50 entries. Further entries are appended as you scroll. During a search a line such as “Showing 12 of 40 results” appears under the list. If the list is empty, the app reports “No transcriptions yet”.

Search and filter

With memozero you search existing transcripts, comments and titles for specific terms. To do that, click the search field under the New Transcription button, where “Search name, words, comments” is written. You can also choose whether memozero should search a term only in the transcript or only in comments.

Without a further setting, memozero searches all three sources: the file name, the spoken words and the comments. Case does not matter. Several words are joined with AND. Small typing errors still produce hits; those approximate hits stand after the exact ones.

The order of hits follows quality: file name before transcript before comment, exact hits before approximate ones.

As soon as you turn on either Search in transcript or Search in comments, memozero searches only there and no longer in the file names.

On the entry itself you see these status marks:

Status markMeaning
Queuedthe file is waiting for processing
Queued (3)the file is waiting at position 3
Processingmemozero is transcribing now
Reviewthe transcript is ready and waits for your review
Approvedyou have approved the transcript
Failedprocessing has failed
Cancelledyou have stopped the processing

If a search finds nothing, it reports “No matching transcriptions”.

Delete a transcript

To delete a transcript, proceed as follows:

  1. Right-click the transcript in the list that you want to delete.
  2. Choose Delete.
  3. Confirm the prompt.

Caution: Please note that you cannot restore a transcript once it has been deleted.

Where licence, plan and invoices sit

There is one path. Click your email address in the footer of the sidebar, then Settings, then the License & Payment tab (This tab is always active when you open the settings.)

There you see the product name, the status (“Active” or “Inactive”) and the price. Two buttons continue from there: Manage and Invoices.

Both buttons open the customer portal in your browser, for which you need an internet connection. The app itself does not display your invoices.
